Employment Relations Assistant Location Hybrid remote in Madison, WI :

Job Summary:

Join University Housing's team of Human Resources and Payroll professionals! The Employment Relations Assistant provides support and assistance to HR employment relation functions in the following service areas: leaves of absence/FMLA, work restrictions, ADA accommodations, worker's compensation, disciplinary matters, sensitive employee issues, records requests, policy interpretation and other related processes. This position is partial remote and joins an employee relations team of 3, within an HR/Payroll department of 17. This is a high volume and customer service focused role serving a diverse group of departments. We are a dynamic, 24/7 division that employs a diverse employee population of approximately 500 full time staff and 1,700 student staff. Come join our team!

Responsibilities:

Provides human resources (HR) information and support to a work unit regarding more than one HR functional area to ensure timely and accurate transaction processing. Maintains personnel records and assists with work unit operational policy development.
  • 25% Provides consultation, performs analytics, and/or maintains personnel files, communications, and materials for work unit through various mediums
  • 25% Executes and audits work transactions and changes adhering to established policies and procedures to meet anticipated deadlines
  • 25% Receives, responds to, and resolves employee questions and problems
  • 5% Represents unit/program at institutional workshops, informational meetings, and training sessions
  • 10% Contributes to the development, implementation, interpretation, and revision of work unit Human Resources policies and procedures according to institutional and legal rules and regulations
  • 10% Process and analyze Criminal Background checks

Tasks:

  • Provide administrative support and assist with HR employee relations functions.
  • Triage incoming medical notes and inquiries for action needed, refer internally as needed. Gather information from supervisors.
  • Triage incoming Employee Relations inquiries, including record requests. Assist with drafting and responding as needed.
  • Process Worker's Compensation Injury Reports and related entry.
  • Determine eligibility for leave entitlements. Assist with tracking usage within amounts allotted.
  • Maintain data and documentation such as stats, trackers, timelines, etc.
  • Weekly audit of timesheet entry vs leaves of absence/entitlement approvals and other related medical cases.
  • Serve as note-taker in discipline or other employee relations meetings.
  • Provide support and assist as needed in the implementation of plans and procedures in the event of an emergency.

Education:

Preferred Associate's Degree

Qualifications:

Minimum 1 year of experience assisting and supporting Human Resources required. Preference given to experience working with Employment Relations. PHR, SPHR, SHRM-CP, SHRM-SCP or the ability to obtain one of these certifications in 1-2 years preferred.

Work Type:

Full Time: 100% This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.

Salary:

Minimum $54,000 ANNUAL (12 months) Depending on Qualifications The starting salary is $54,000 for a candidate who needs to learn the responsibilities of the position and is not yet performing the full scope of the position. Actual pay is determined at hire and is based on qualifications and experience. This is a full-time appointment and includes a competitive retirement and benefits package.

Additional Information:

This is a hybrid position which works primarily: 60% remote and 40% on-site. Primary work schedule for this position is 8:00am - 4:30pm, Monday through Friday. Extra hours as needed. Flexibility is available for alternate schedules that meet operational needs. Final schedule will be determined at time of offer. A criminal background check will be conducted on finalist(s).
