Job Overview:
This role manages the Parts Department by optimizing inventory, driving sales performance, and ensuring OEM compliance. It involves leading a high-performing team, improving processes through data analysis, and coordinating with key departments. The position focuses on maintaining profitability, minimizing obsolescence, and meeting company KPIs.

Key Responsibilities

Inventory Management & Control:

  • Implement strategies to maintain optimal stock levels.
  • Analyze trends, forecast demand, and reduce overstock/backorders.
  • Ensure accurate inventory tracking and control.
  • Minimize obsolete inventory with targeted sales strategies.
  • Maintain Inventory Turns 4.5.
  • Maintain parts inventory obsolescence of less than 1% of total parts inventory.
  • Maintain core inventory of less than $2000.
  • Consistently maintain and beat company key performance indicators within inventory control.
  • Monitor previous day returned parts and parts deletions to ensure proper procedures are being followed and inventory is accounted for.
  • Monitor and review the Master locations and limit to one page or less at all times.
  • Review Parts Reconciliation report daily to ensure efficient flow between Parts and Accounting.
  • Review and monitor customer back orders and have an explanation for anything over 10 days.
  • Review Bill Out/Buy Out Report and Lost Sales Reports and report back to Purchasing and Management with parts order suggestions.

Sales & Customer Service:

  • Lead the sales team to meet and exceed sales goals.
  • Build strong customer relationships and deliver expert support.
  • Create competitive pricing strategies to increase profitability.
  • Address customer inquiries, returns, and complaints professionally.
  • Work closely with the Sales Managers and Purchasing Manager to submit Competitive Sales Requests with a target of 10 part numbers per week minimum.
  • Maintain a Total Gross Profit: 30%.
  • Work with Accounts Receivable to keep open cash tickets and assist with any collection issues.

Team Leadership & Development:

  • Hire, train, and mentor a high-performing team.
  • Foster a positive, productive work environment.
  • Provide regular coaching and feedback.
  • Ensure ongoing training on parts and technology.
  • Assist in and identify training opportunities on any Parts-related initiatives.

Compliance, Processes & Reporting:

  • Maintain OEM warranty and parts handling compliance.
  • Ensure MDI returns (return tags) are done monthly; achieve minimum of 90% return compliance. Have explanation for anything not returned.
  • Track and report department metrics and performance.
  • Identify process improvements for efficiency.
  • Implement new processes/efficiencies when necessary.
  • Improve current processes and procedures through data analysis and collaboration with Management.
  • Work closely with Inventory Control to effectively facilitate Parts Warranty Claims through the Warranty Department.
  • Review Parts Reconciliation report daily to ensure efficient flow between Parts and Accounting.
  • Report should be current at all times. Anything past current month requires explanation.
  • Review and monitor customer back orders; work with purchasing to cancel any aged orders that canceled.

Operational Management:

  • Manage the Day-to-day Parts department.
  • Ensure effective operational processes that adhere to company standards and policies.
  • Coordinate across departments (Sales, Purchasing, Accounting, Warranty) for seamless operations.

Qualifications:

  • 5+ years of experience in heavy-duty truck parts.
  • Prior leadership experience preferred.
  • Proven success in sales and inventory management.
  • Strong knowledge of OEM parts and warranty procedures.
  • Proficiency in Microsoft Office and inventory software.
  • Strong communication and leadership skills.
  • Knowledge of truck/trailer parts and forklift certification are a plus.

Physical Requirements:

  • Ability to lift up to 75 lbs and work in various weather conditions.
  • Comfortable working in a shop environment with exposure to noise, dust, and varying temperatures.

Working Conditions:

  • This position is located at the TRP store and may require extended periods of sitting, standing, and/or walking.
